We are seeking a dedicated and detail-oriented Events and Exhibitions Project Coordinator to support our clients dynamic Project Management team. If you thrive in a fast-paced environment and are passionate about delivering exceptional events, we want to hear from you!
Key Responsibilities:
• Engagement with Exhibition Organisers: Communicate with exhibition organisers to gather manuals, build regulations, and deadlines, ensuring compliance with all event requirements.
• Project Planner Management: Maintain and update the project planner with individual project details, including timelines, regulations, order forms, and deadlines for seamless project execution.
• Supplier Coordination: Liaise with suppliers by raising purchase orders, confirming delivery timelines, and ensuring all details are accurately documented.
• Invoice Oversight: Manage supplier invoices and monitor payment deadlines to maintain strong supplier relationships.
• Travel Arrangements: Source hotels and arrange travel for the project team and site crew, ensuring smooth logistics and accommodations.
• Shipping Documentation: Create shipping invoices for overseas shipments, maintaining ongoing communication and organization.
• Project Documentation: Organize and produce essential project paperwork, including health and safety documentation and exhibition manuals.
• Project Monitoring: Continuously monitor and update project planners, ensuring all project activities are tracked effectively.
• Post-Project Analysis: Conduct post-project debriefs, document lessons learned, and analyze data/metrics to share with relevant stakeholders for future improvements.
• Client Inventory Updates: Regularly update client inventories to track materials and assets effectively.
• Skill Development: Take advantage of opportunities to manage smaller logistical projects, enhancing your professional skill set.

• Experience in a coordinating role within a busy team environment.
• Ability to manage a high volume of work across multiple projects concurrently.
• Maintain a calm and professional demeanor, even during peak times.
• Excellent multi-level communication skills with the ability to engage various stakeholders.
• Exceptional organizational skills with a proactive, can-do attitude.
• Commercial and financial awareness relevant to project management.
• Strong reporting skills, with proficiency in IT tools and software.
• Willingness to travel as needed to support the project team during busy periods.
