Position Overview

This position is responsible for being the liaison with the client and hotel team in the planning and execution of local corporate and social events as assigned by the Director of Sales and Catering.

Primary

Duties and Responsibilities
• Coordinates catering and beverage services for events along with AV needs to obtain details from client within required time frame for distribution to the Hotel team. This includes working with internal and external clients to identify food and beverage requirements for the meetings and providing menus and catering suggestions as needed.
• Preplanning for upcoming weddings, social events, to include corporate day events. Attention to detail is key. Ensure deadlines are met.
• Provide comprehensive detail of F&B, AV and Setup detail via Banquet Event Order communication within Delphi and assemble critical broader Hotel information to the rest of the team through weekly Resume detail.
• Confirm payment received according to contracted due dates and communicate final billing and concerns accordingly.
• Works with Manager to plan and execute special events, which includes meeting with clients and vendors to obtain information regarding their event. Designs menus to present to internal or external clients and decides on event space layout to fit the flow of events.
• Coordinates and assists in room-turns, which includes consulting with clients using modular rooms about possible setups for their events, creating a room-turn schedule, and ensuring that all room-turns are being performed according to the clients’ needs.
• Continued communication with client as liaison along with Manager through, during and after conclusion of event to ensure on-site guest satisfaction.
• Answering phone lines with positive and energetic tone, taking messages and communicating needs to the remainder of the team.
• Regularly evaluates conference rooms and facilities for problems such as light outages, blemishes on surfaces or technical issues, and reports any problems to the appropriate department.
• Review invoices for payment.
• Support and assist overall sales & catering team.

Qualifications

Minimum Qualifications

Experience: At least two years of event planning experience.

Special Knowledge: Working knowledge of food and beverage preparations, service standards, guest relations and etiquette and knowledge of appropriate table settings and service ware positioning. Knowledge of proper lifting and moving techniques.

Technical Skills: Experience copy machine and PC, including knowledge of MS Office and Delphi FDC, Canva, Excel.

Attributes: Excellent customer service skills and the ability to maintain a professional demeanor within a fast-paced environment.

Ability to communicate well verbally and in writing with all levels of the organization. Good attention to detail.

Other Qualifications: Ability to take ownership and work well as a member of the Portofino team.

Working Conditions
• Ability to stand and walk for long periods of time is required.
• Occasional overtime may be required.
• Ability to lift 30 pounds without assistance is necessary.

Salary Description

$20-$22/Hour DOE
