Professional Skills: • Advanced ability to organize • Strong interpersonal, written, and oral communication skills • Strong proficiency in Microsoft Office • Attention to detail • Demonstrate initiative and creativity ability to prioritize workload, work well under pressure and be pro-active in approach along with being flexible attitude towards working hours • Ability to build both internal and external relationships • Experience in MS Office (Word, PowerPoint, Excel) • Project Management Administrative Skills • Tact and good judgment in confidential situations and proven experience interacting with senior management Responsibilities: • Responsible for holding the office requirements for senior leaders within Human Resources • Support on program management efforts for HR wide initiatives • Manage extensive and complex calendar in a fast paced and dynamic environment • Coordinate and organize senior meetings, draft communications and presentations including agenda setting, material preparation and distribution, coordination of guest speakers, and logistics Work closely with Business Manager on maintaining key documents including organizational charts and background materials. Able to take succinct minutes and replay key takeaway and themes from senior meetings. • Raise system access through various request based tools • Track Leavers / Movers / Joiners and provide regular MIS to management and HR. • Co-ordination for Reward & Recognition within the HR function • Provide support for visiting executives / senior managers. • Co-ordinate domestic and international travel. • Accounts and Vendor Management • Process invoices and T&E expense claims for team members, ensuring all policies are followed and items are processed within provided guidelines • Assist with staff on-boarding and off-boarding, which includes requesting equipment setup and system access • Produce high quality emails and messages to individuals at all levels of the organization • Provide site support for local office requirements including assistance with new hire integration, facilities maintenance, supplies, floor access, presence at local events, greeting clients and guests and escorting them throughout the location, food orders/set up and takedown of conference rooms, ensuring superior client service at all times • Qualifications: Graduate with administrative assistant experience Note: This role requires five days in the office (Mon-Fri) and will not support Hybrid options.
