Description
Calendar Coordination: Take proactive ownership of the Senior Management's calendar, scheduling appointments, meetings, events, and travel arrangements efficiently.
Inbox Management: Oversee Senior Leader's email inbox, ensuring critical communications are responded to promptly, prioritising urgent messages, and flagging important matters. Ensure relevant emails are saved in selected software platform and forwarded to appropriate team members when needed.
Meeting Preparation: Organise meeting agendas, compile necessary documents and presentations, and attend meetings to take detailed notes, minutes, and action items as required.
Travel Arrangements: Handle the booking of flights, accommodations, transportation, and prepare comprehensive travel itineraries.
Personal Errands: Arrange personal appointments, social activities, travel plans, and family-related events.
Transcription Services: Convert recorded dictations into written documents, including memos and letters, accurately and promptly.
Letter Drafting and Revisions: Draft, format, and amend letters and memos on behalf of Senior Management, adhering to specific style guides.
Confidential Information Handling: Safeguard sensitive and confidential materials, ensuring discretion and security at all times.
Project Assistance: Provide support in tracking and coordinating key projects as needed.
Profile
Skilled at building strong rapport and fostering positive relationships with colleagues, senior leadership, and external partners.
Maintain discretion and professionalism when managing sensitive or confidential information.
Ability to remain calm and composed in high-pressure situations.
Capable of working independently with minimal supervision.
