Role Summary
The Executive Assistant (EA) provides high-level administrative support three (3) VPs (VP,CX Strategy and Operations, VP, Global Service Delivery and VP, Global Renewals). This role requires a proactive, organized, and highly adaptable professional who can manage complex schedules, coordinate logistics, and serve as a liaison between the executive and various stakeholders. The ideal candidate will demonstrate strong communication, problem-solving skills, and the ability to handle confidential information with discretion.
What You Will Do
Calendar and Schedule Management:
Manage and maintain the executive's calendar by scheduling meetings, appointments, and events, ensuring optimal time management and minimal conflicts.
Coordinate travel arrangements including flights, hotel bookings, transportation, and itineraries.
Prepare and organize executive’s daily agenda, prioritizing tasks, and ensuring timely preparation for meetings and events.
Meeting Coordination and Support:
Organize and facilitate meetings by preparing agendas, taking minutes, and following up on action items.
Coordinate logistics for board meetings, client meetings, and other important engagements.
Ensure all materials and presentations are prepared and organized for meetings, providing any necessary background information.
Project Management and Support:
Prepare, proofread, and format communications, presentations, and reports for the executive.
Assist with project coordination, ensuring deadlines and deliverables are met.
Assist with the preparation of reports, presentations, and spreadsheets.
Track progress on key initiatives and provide regular updates to executives as necessary.
Help prioritize projects and allocate resources effectively.
Travel and Event Coordination:
Coordinate executive travel arrangements, including booking flights, hotels, and transportation, ensuring seamless travel experiences.
Assist with organizing corporate events, conferences, or team-building activities, handling logistics, accommodations, and communication with attendees.
Relationship Management:
Serve as a liaison between the executive and other internal/external stakeholders, such as employees, clients, board members, and vendors.
Build and maintain professional relationships across various teams, departments, and external partners.
Confidentiality and Data Management:
Manage confidential and sensitive information with the utmost discretion and professionalism.
Organize and maintain files, documents, and records related to executive projects and business operations.
General Administrative Support:
Handle expense reports, reimbursements, and manage petty cash for executive-related activities.
Assist in any other administrative tasks as needed to ensure the smooth running of the executive office.
What You Will Bring
3+ years of experience in an executive assistant or administrative support role, preferably supporting senior-level executives.
Strong organizational and time-management skills with the ability to multitask and prioritize effectively.
Exceptional written and verbal communication skills, with a professional and polished demeanor.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office productivity tools.
Ability to handle sensitive and confidential information with discretion and professionalism.
Strong interpersonal skills, with the ability to interact effectively with people at all levels.
Exceptional attention to detail and problem-solving abilities.
Experience with project management tools and scheduling software is a plus.
Occasional travel may be required.
