Job description
Position Overview:
BodyHealth is looking for a highly organized and proactive Executive Assistant to support our VP of Professional & Wellness Solutions. This role is crucial to maintaining structure and helping the VP manage a busy schedule, multiple projects, and various professional commitments. The ideal candidate will be adept in both calendar and project management, and having experience in the healthcare field or knowledge in the supplement industry would be a huge plus. The position requires someone who can manage priorities with attention to detail and efficiency.
Key Responsibilities:
• Manage the VP's calendar, including scheduling meetings, appointments, and travel arrangements.
• Serve as the primary point of contact for internal and external communications related to the VP’s schedule.
• Assist with project management tasks, ensuring deadlines are met and initiatives stay on track.
• Organize and prioritize tasks and projects, helping the VP manage their workload effectively.
• Support key/house accounts, including tasks such as order entry, returns, and complaint handling requests.
• Prepare reports, presentations, and other documents as needed.
• Act as a liaison between the VP and other departments, facilitating communication and workflow.
• Coordinate with the VP on event planning, vendor communications, and special projects.
• Conduct research and gather information on industry trends, products, and competitors.
• Handle confidential information with discretion and professionalism.
• Anticipate the needs of the VP and proactively address issues before they arise.
Qualifications:
• Proven experience as an Executive Assistant or in a similar role, preferably supporting senior-level executives.
• Strong project management skills, with a demonstrated ability to manage multiple tasks and priorities.
• Experience supporting account management functions, including order entry, returns, and handling complaints.
• Exceptional organizational and time-management abilities.
• Experience in healthcare, wellness, or knowledge of the supplement industry is highly desirable.
• Excellent written and verbal communication skills.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools.
• Ability to work independently, anticipate needs, and maintain a high level of professionalism.
• Problem-solving attitude with attention to detail.
