We are an IT services company with a team of 40 professionals, delivering innovative technology solutions. We are looking for a highly organized and proactive Executive Assistant & Office Manager to support the CEO and oversee office operations, HR administration, and executive coordination.
Role Overview
This role is ideal for someone who thrives in a dynamic environment, enjoys working closely with leadership, and can independently manage office operations. The individual will act as the CEO’s key support, ensuring seamless execution of tasks while also overseeing administrative and HR functions.
Key Responsibilities
1. Executive Assistance to CEO
- Manage the CEO’s calendar, schedule meetings, and coordinate travel arrangements.
- Handle confidential communications, emails, and correspondence on behalf of the CEO.
- Assist in preparing reports, presentations, and business documents.
- Serve as a key liaison between the CEO and internal/external stakeholders.
- Provide support in decision-making by gathering insights.
2. Office Management & Administration
- Oversee day-to-day office operations, ensuring a smooth and efficient workplace.
- Handle vendor management, office supplies, IT infrastructure coordination, and facilities management.
- Implement and improve administrative processes to enhance efficiency.
- Ensure compliance with company policies and regulatory requirements.
3. HR Oversight & People Operations
- Supervise and provide strategic oversight to the in-house HR team.
- Assist in recruitment coordination, onboarding, and employee engagement initiatives.
- Mediate and resolve office issues, fostering a productive work culture.
- Support HR in developing policies, performance reviews, and team-building activities.
Qualifications & Skills
- Experience: Minimum 5 years in an Executive Assistant, Office Manager or HR Administration role.
- Education: Bachelor’s degree in Business Administration, Human Resources, or Finance.
- Skills:
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Ability to work independently and take ownership of tasks.
- High level of discretion, professionalism, and confidentiality.
- Prior experience in an IT services or Consulting is a plus.
- Experience in a StartUp or entrepreneurial background highly desirable.
