Job Title- Executive Assistant to Director

Location – Viman Nagar, Pune

We are seeking a highly organized and proactive Executive Assistant/Personal Assistant to support our leadership team. The ideal candidate will possess strong organizational skills, the ability to handle multiple tasks efficiently, and a keen attention to detail. This role requires someone who is resourceful, a strong communicator, and capable of managing both professional and personal tasks for the executive team.

Key Responsibilities:

Administrative Support: Provide comprehensive administrative support to the executive team, including managing calendars, scheduling meetings, and coordinating travel arrangements.

Communication Management: Handle incoming and outgoing communication on behalf of the executives, including emails, phone calls, and correspondence.

Event Coordination: Assist in the planning and execution of company events, client meetings, and other corporate functions.

Document Preparation: Prepare reports, presentations, and other documents as required. Ensure all materials are accurate, timely, and professionally presented.

Task Management: Prioritize and manage multiple tasks and projects, ensuring deadlines are met and the executive team is kept informed of progress.

Confidentiality: Maintain the highest level of confidentiality with sensitive information and documents.

Relationship Management: Act as a liaison between the executive team and internal/external stakeholders, fostering strong professional relationships.

Personal Assistance: Assist with personal tasks for the executives, such as managing appointments, handling personal correspondence, and other duties as needed.

Office Management: Oversee general office operations, including managing supplies, coordinating with vendors, and ensuring a productive work environment.

Qualifications:

Bachelor’s degree or equivalent experience in business administration or a related field.

Proven experience as an Executive Assistant, Personal Assistant, or in a similar role.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.

Excellent organizational and time management skills.

Strong written and verbal communication abilities.

Ability to handle multiple tasks with a high degree of accuracy and attention to detail.

Discretion and confidentiality are essential.

Experience in event planning or a related field is a plus.

Ability to work independently and take initiative.

Strong interpersonal skills and the ability to work effectively with a variety of stakeholders.
