An executive assistant is commonly found answering phones, screening visitors, making travel arrangements, preparing reports, filing and organizing documents, recording meeting minutes, and performing basic bookkeeping tasks.
Executive Assistant Job Responsibilities:
1) With a primary responsibility of supporting the OWNER, provide support to the executive team as directed to ensure that company goals and objectives are accomplished, and operations run efficiently.
2)Manage professional and personal scheduling for Owner, including agendas, mail, email, calls, travel arrangements, client management, and other company logistics.
3)Coordinate complex scheduling and extensive calendar management, as well as management of content and flow of information to senior executives.
4)Manage, coordinate, and arrange senior executives’ travel and travel-related activities, including hotel booking, transportation, and meal coordination.
5)Answering phones and routing calls to the correct person or taking messages.
6)Filing and retrieving corporate records, documents, and reports.
7)Helping prepare for meetings.
8)Accurately recording minutes from meetings.
+)Greeting visitors and deciding if they should be able to meet with executives.
10)Opening, sorting and distributing incoming faxes, emails, and other correspondence.
11)Provide general administrative support.
12)Performing office duties that include ordering supplies and managing a records database.
13)Organize team communications and plan events, both internally and offsite.
14)Prepares reports by collecting and analyzing information.
15)Develop and sustain a level of professionalism among staff and clientele
16)Completes projects by assigning work to clerical staff and following up on results.
17)Maintain confidentiality of highly sensitive information
