The Opportunity
We’re seeking a highly organized, strategically-minded, and proactive Executive Operations Coordinator to support our Chief Operations Officer (COO)—someone who thrives in a dynamic environment and can seamlessly blend executive-level support with project and operations management.

What You’ll Do

Project & Operations Management

Oversee progress on cross-functional initiatives and ensure alignment with strategic goals.
Track project timelines, deadlines, deliverables, and interdependencies.
Identify potential roadblocks early and work with stakeholders to resolve them.
Maintain a pulse on day-to-day operations, helping teams stay on track and aligned.
Deliver timely updates and insights to leadership on project and operational status.

Executive Support

Manage complex calendars and coordinate meetings, calls, and travel for the COO.
Prioritize incoming requests and adjust schedules according to shifting business needs.
Prepare agendas, take meeting minutes, and track follow-up actions.
Serve as a key liaison between the COO and internal/external stakeholders.
Handle sensitive and confidential information with discretion and professionalism.

Communication & Coordination

Support communication flow between departments and executive leadership.
Ensure team members are aligned on timelines, goals, and key deliverables.
Lead or participate in check-ins, stand-ups, and progress tracking meetings.
Keep detailed records of project plans, decisions, and outcomes.

Tools & Reporting

Use project management tools to track and assign tasks.
Assist in creating executive presentations, strategy reports, and updates.
Help organize data and provide insights to support decision-making.

What You Bring

3+ years supporting C-level executives in a fast-paced, multifaceted environment.
Experience with project coordination or operations is highly preferred.
Outstanding time management, multitasking, and organizational skills.
Excellent communication skills—written, verbal, and interpersonal.
High level of professionalism, discretion, and emotional intelligence.
Strong tech proficiency
A proactive mindset—you don't wait to be asked; you anticipate and act.
