Job Overview: We are seeking a highly organized and personable Front Desk Coordinator to be the face of our company and our front desk and administrative operations
In this role, you will handle scheduling, reception duties, and a variety of administrative tasks, all while providing outstanding support to our clients and working closely with the Office Manager and Company Owner
Answer and direct incoming calls to the appropriate department
Respond to and manage appointment emails
Schedule and confirm appointments, manage cancellations, and update schedules as needed
Greet clients and visitors warmly, ensuring a positive first impression
Monitor and return voicemails in a timely manner
Assist clients with creating and managing their client portal
Ensure all intake forms are completed prior to appointments
Handle office opening and closing responsibilities
Send appointment reminders via email: 4 Week, 8 Week, and SO Follow-Up
Process payments for services, products, and classes
Enter new tests into the tracker and update records with changes
Promote pre-booking, service packages, and referrals
Coordinate Zoom meeting invitations and links for clients and therapists
Participate in weekly office cleaning and maintenance
Assist with packing, shipping, and maintaining office supply inventory
Prepare and distribute meeting notes among team members
