Job Description

In this dynamic position, you will be responsible for understanding and implementing the Group & Events Sales strategy, preparing essential documents like booking events orders (BEOs), floor plans, menus, and signage, and ensuring all details are communicated efficiently to all relevant departments. You will work closely with the operations team to deliver exceptional service, coordinate event activities, and provide innovative solutions to meet client needs.

Main Responsibilities:
• Demonstrate full understanding of the Group & Events Sales strategy and ensure this is implemented.
• Prepare booking events orders (BEO’s), floor plans, menus, signage and other relevant paperwork to effectively communicate guest’s needs to internal and external sources.
• Ensure all BEO’s are completed on time and issued to all relevant departments and that any last-minute changes are regularly passed on to maximise efficiency and standards
• Work alongside the all operations team to deliver successful service.
• Understanding the requirements of clients and coming up with innovative ideas for events.
• Researching suppliers and contractors and negotiating favourable deals as needed; liaise with external suppliers.
• Coordinating activities on the day of an event and implement back-up plans when necessary.
• Performing post-event evaluation and documenting findings.
• Organise and host hotel site visits / client entertainment for current and prospective accounts with identified potential.
• Build strong relationships with clients and proactively seek repeat business and new contacts within the companies. Assist the proactive team to re-book all business.

Qualifications

Your experience and skills include:
• Events Planner experience is an asset
• Ability to focus attention on guest needs, remaining calm and courteous at all times
• Highly responsible & reliable
• Excellent communication skills, both written and verbal required
• Strong interpersonal and problem solving abilities
