Job Summary:
We are seeking an experienced and dynamic Admin and Facilities Head to oversee the administration and facilities functions of our organization. The Admin and Facilities Head will be responsible for managing and coordinating a wide range of administrative, operational, and facilities-related activities to ensure the smooth functioning of the organization.
General Responsibilities:
• Develop and implement administrative policies, procedures, and guidelines to support the efficient operation of the organization.
• Oversee the day-to-day administrative activities, including office management, travel arrangements, and vendor management.
• Coordinate and manage facilities-related functions, including maintenance, security, safety, and space planning.
• Supervise and provide guidance to the administrative and facilities team, ensuring efficient performance and professional development.
• Ensure compliance with relevant regulations, laws, and standards related to administration and facilities management.
• Manage the contracts and agreements with vendors and service providers.
• Develop and manage the department budget, monitor expenses, and identify cost-saving opportunities.
• Collaborate with other departments to support their administrative and facilities needs.
• Implement and enhance administrative and facilities processes to improve efficiency and productivity.
• Handle the electrical and mechanical equipment.
• Handle the BMS operation, PPM schedules, etc.
• Stay updated on industry best practices and trends in administration and facilities management.
Specific Responsibilities:
• CRE:
• Analytical skills are required to provide accurate and actionable data regarding supply, demand, growth, alternatives, and recommended strategies for office space usage.
• Experience in setting up corporate offices, satellite offices, branches, and warehouses.
• Employee productivity and workplace readiness:
• Responsible for maintaining a high standard of facility factors that directly impact employee productivity.
• Create a time-to-time strategy to introduce the productivity enhancement tools in the facility.
• Budgeting and Frugality:
• Prepare a realistic annual budget to handle the OPEX and CAPEX requirements. Formulates and develops all strategies that are achievable, cost-effective, and address organizational goals.
• Develops procedures that are cost-effective and does long-term planning for cost consciousness.
• Compliance to Policies and Procedures:
• Ensure the operational effectiveness of regulatory policies. Design SOPs and apply good judgment to high-risk situations. Challenges practices for improvements whenever required.
• Responsible for verifying the compliance of all statutory and contract labor matters. Also, conduct sensitive investigations and inquiries to enforce sound governance.
• Leadership:
• Recruitment, workload organization, KPI's and individual targets, development, team animation and information cascading.
Qualifications and Requirements:
• Bachelor's degree (Master's degree preferred).
• Proven experience in a leadership role within administration and facilities management, with a minimum of 14 years of relevant experience.
• Strong knowledge of administrative processes, facilities management, and regulatory requirements.
• Excellent leadership, communication, and interpersonal skills.
• Demonstrated ability to manage and motivate a team.
• Proficient in vendor management and contract negotiation.
• Experience in budgeting and financial management.
• Strong problem-solving and decision-making skills.
• Familiarity with health and safety regulations and compliance
