Legal Administrator & Client Care Representative

We are the leading Court Reporting firm serving Toronto and surrounding areas and are looking for a full-time Client Care Representative to build a career with us and be the face (and voice) of our company to clients.

While we are always looking for experienced operators, what we really look for are nice people who can smile through the phone, love providing great client service and are committed to making a difference wherever they are.

Duties:

- Receive inbound calls for client bookings

- Document call activity details

- Enter Bookings into system

- Ensure that every call receives the highest quality in client satisfaction with quality responses and clear answers

- Take messages from clients and pass along information as appropriate

- Understand and relay all of our services to clients

- Update and maintain scheduling

- Responsible to communicate with all departments and offices regarding specific bookings

- Dispatch urgent calls immediately

- Ensure that client requests/needs are met at all times and escalated to management where appropriate

- Web Research

- Offer and replenish coffee, tea, beverages and snacks to clients

- Ensure the cleanliness of reception area, offices, cafe and boardrooms

- Perform general office duties - typing, filing, and scanning

Skills and Abilities:

- Must have pleasant, friendly telephone manner

- Extremely organized in a detail oriented atmosphere

- Excellent verbal communication and client service skills

- Ability to multi-task

- Able to be decisive and assertive under pressure

- Ability to work with minimal supervision

- Good interpersonal skills and the ability to work as a team

- Punctual and good attendance record

- Excellent interpersonal, written and oral communication skills

- Up to date understanding of Microsoft Office Suite

- Ability to adapt in a fast-paced environment

- Desire to learn and further your career

- Strong Problem-Solving Skills

- Maintain confidentiality and security with respect to client matters

The following is considered an asset:

- Experience in the court reporting industry or as a legal assistant, legal administrator or office manager

- Knowledge of legal terminology and legal processes

- Strong listening and comprehension skills

- Client-oriented and demonstrates professionalism at all times
