Job Overview:
The Management Assistant provides administrative support to the manager, ensuring efficient operation of the office. The Management Assistant will handle a variety of tasks related to the manager's working life and communication, including scheduling, correspondence, and office management.
Key Responsibilities:
Administrative Support:
Manage and maintain the manager's schedule, including appointments, meetings, and travel arrangements.
Prepare and edit correspondence, reports, and presentations.
Handle confidential information with discretion.
Conduct research and prepare materials for presentations and reports.
Organize and manage files and documents, ensuring they are easily accessible and up-to-date.
Communication:
Act as the first point of contact for the manager, handling inquiries and requests.
Screen and direct phone calls, emails, and other correspondence.
Draft, proofread, and send communications on behalf of the manager.
Meeting Coordination:
Schedule, organize, and coordinate meetings, including preparing agendas and taking minutes.
Ensure meeting rooms are prepared and equipped with the necessary materials.
Follow up on action items from meetings.
Travel Arrangements:
Plan and book travel arrangements, including flights, accommodation, and transportation.
Prepare travel itineraries and ensure the manager has all necessary documents.
Office Management:
Order and manage office supplies.
Ensure the office environment is clean, organized, and well-maintained.
Coordinate with other staff and departments as needed.
Project Assistance:
Assist in the planning and execution of special projects and events.
Conduct research and gather information for project planning.
Track project progress and deadlines.
Qualifications:
Proven experience as a personal assistant or relevant administrative role.
Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
Excellent organizational and time management skills.
Strong English written and verbal communication skills.
Ability to work independently and as part of a team.
Discretion and confidentiality.
Ability to multitask and prioritize tasks effectively.
High school diploma or equivalent; additional qualifications as an administrative assistant or secretary will be a plus.
