Position Type: Part-time – Contract
We’re looking for a warm, organized, and confident Office Administrator / Client Coordinator to join our team. This is a front-facing role in a calm and professional clinic setting, ideal for someone who enjoys connecting with people, has a polished and friendly demeanor, and brings a strong sense of ownership to their work.
About the Role
You’ll be the first point of contact for our clients — both in person and over the phone — so excellent communication and interpersonal skills are a must. This role requires someone with strong sales abilities, attention to detail, and the ability to multitask while keeping a calm, welcoming demeanor.
Key Responsibilities:
Greet clients warmly and professionally
Manage appointment scheduling and daily calendar coordination
Communicate with clients via phone, email, and in person
Provide product and service information confidently and accurately
Sell services and skincare products with confidence and knowledge
Operate POS system for transactions and inventory management
Assist in keeping the clinic clean, tidy, and presentable throughout the day
Support team members to ensure smooth daily operations
What We’re Looking For:
Excellent verbal and written communication skills
Sales experience is a must
Experience in the medical or aesthetic space is a strong asset
Highly organized and detail-oriented
Energetic, approachable, and able to build rapport easily
Team player with a proactive attitude
Comfortable using scheduling software and POS systems
Bonus if You Have:
Knowledge of skincare products, treatments, or medical aesthetics
Previous experience in a similar front-desk or coordination role
Ability to multitask without compromising client experience
