The ideal candidate will be responsible for providing administrative support to ensure efficient operation of the office. From scheduling client meetings, to communicating between departments, you will be responsible for completing multi-level tasks in a professional and timely manner.ResponsibilitiesTender Documentation - Assist in the preparation and organization of tender documents, ensuring accuracy, completeness, and compliance with regulatory requirements.Assist in managing end-to-end back-end operations for medical equipment tenders Operate and maintain the GeM portal , including uploading bids and tracking submissionsFiling: Maintain organized electronic and physical filing systems for tender-related documents, contracts, and correspondence.Facilitate communication within the organization by drafting and distributing internal memos, updates, and announcements related to tender processesHandle external correspondence with vendors, partners, and regulatory agencies regarding tender submissions, inquiries, and documentation requirements.Respond to dealer and customer inquiries related to tenders and quotationsTrack tender outcomes and maintain performance recordsDatabase Management - Update and maintain databases with relevant tender information, ensuring data integrity and accessibility.Provide general administrative support to the team, including scheduling meetings, preparing reports, and coordinating travel arrangementsRaise Purchase Orders to suppliers and coordinate timely deliveriesCreate and manage Invoices , Delivery Challans , and related dispatch documentsProvide regular interaction and back-end documentation support to service engineers for on-site servicing, installation, and demonstration activitiesCoordinate with customers and internal teams for smooth
