We're hiring a full-time, in-person Office Clerk & In-House Courier who understands what it means to be the glue — the one who moves files, runs point, keeps deliveries flowing, and makes sure the lights stay green across the entire firm. What You’ll Be Doing
(A) Courier & Delivery Operations
Execute daily GTA courier runs for banks, clients, courthouses, and suppliers
Time deliveries around court deadlines, client needs, and bank hours — no excuses
Track mileage, expenses, and receipts — reimbursed as per firm policy
Organize and retrieve staff breakfasts and team lunches — handle vendor coordination and dietary requirements with zero misses
Collaborate with legal, admin, and accounting teams to route deliveries seamlessly
(B) Reception & Client Intake Support
Greet every client, vendor, and visitor with poise and professionalism
Provide coverage for Reception (morning/evening shifts as assigned)
Screen calls, take messages, track voicemails, and keep Reception spotless and stocked
Book and prep boardrooms — spotless, organized, ready for the next meeting
Monitor client flow and ensure our first impression is always flawless
(C) File Management & Administrative Backbone
Maintain our master Excel-based closed file database (yes, it’s colour-coded)
Manage off-site file storage: inventory, retrievals, tracking
Shred sensitive materials in compliance with legal and privacy standards
Support document maintenance for key files, including client Wills and core firm archives
(D) Administrative & Legal Team Support
Assist senior legal assistants and clerks with scanning, billing, formatting, and data entry
Coordinate interdepartmental tasks and manage shared file workflows
Flag delays, inconsistencies, and issues before they become a problem
Learn how the machine runs — and help oil it
(E) Office Supply & Facilities Management
Monitor stock levels for tabs, toner, binders, water, snacks, and more
Alert the Supply Manager proactively — no one likes running out of staples during a closing
Remove excess packaging, garbage, and recycling regularly
Maintain common areas and ensure the workspace stays sharp
(F) Internal Culture & Event Execution
Take charge of weekly breakfasts and monthly lunches
Organize seasonal events: holiday parties, bowling nights, BBQs, town halls
Liaise with vendors, order catering, and handle setup like a pro
Help reinforce our firm culture — professional, respectful, performance-driven
(G) Reporting & Communication
Provide daily debriefs to supervisors — deliveries completed, tasks flagged, issues raised
Confirm departure and return times when leaving the premises
Communicate clearly, consistently, and professionally with every department
(H) Other Duties as Assigned
There will be curveballs. You’ll field them.

What You Bring to the Table
✅ Full G-Class Driver’s License + Access to a reliable, insured vehicle
✅ Physically capable of lifting/moving 50 lbs multiple times a day
✅ Available Monday to Friday for minimum 40 hours/week (flexible within business hours)
✅ Proficient in Microsoft Excel, Word, and basic reporting software
✅ Incredibly organized, clean, and detail-obsessed
✅ Clear communicator — written, verbal, and email etiquette must be sharp
✅ You get things done — no hand-holding, no micromanaging required

Mandatory Requirements

Ability to pass criminal background, credit, employment, and education verification
