About the Role
Our clients are the cornerstone of our business and their experience dealing with us matters. As the first person to greet our clients, the role of Office Manager is a pivotal one. Reporting to the Associate Director- Funds Management Operations, this role is responsible for the smooth day-to-day running of the Wingate Melbourne office located at 101 Collins Street.
This is a broad and varied role (which works across front and back office) and is dedicated to delivering a seamless customer experience to both external clients as well as to our internal stakeholders (including the senior leadership team).
Key Responsibilities:
Providing an exceptional customer experience as you greet clients and guests, serving tea and coffee, coordinating and supporting (as required) external catering as well as end to-end management of in-house client luncheons and events.
Diary management of the boardroom and meeting rooms, ensuring all meeting rooms are tidy and set up with refreshments prior to each internal and external meeting.
General upkeep of all front of house and common staff areas.
General office administration including mail and courier services, ordering and maintaining supplies and ad hoc administrative support.
Participating actively in the planning and execution of company events.
Supporting the Operations and People Experience functions with other ad hoc administrative activity.
About You
To succeed in this role, you should be a skilled Office Manager with at least 5 + years of experience in a professional services environment.
Your experience will include a strong background in reception duties, where you take great pride in warmly welcoming and attentively serving clients and guests.
Exceptional attention to detail is crucial, as you will meticulously ensure that every aspect is thoroughly managed.
You will thrive as the go-to individual who keeps operations smooth, demonstrating polished communication skills, high level of political acuity, and unwavering professionalism.
As a people person, you’ll enjoy engaging with a diverse range of individuals and be a dedicated team player, always willing to contribute and ensure tasks are completed efficiently.
