Position: Operations Executive

Overview of the Position:

A Backend Operations Executive is responsible for providing essential behind-the-scenes support for a company's daily operations. This position includes managing administrative duties, data administration, paperwork, and support for other departments work .

Responsibilities:
• Data Entry and Management: Accurately enter and update data in the company's databases, spreadsheets, and other information management systems.
• Document Handling: Organize and maintain physical and digital documents, files, and records in a systematic manner to ensure easy retrieval and compliance with data protection regulations.
• Administrative Support: Provide administrative assistance to different departments, such as HR, finance, marketing, and operations, by preparing reports, scheduling meetings, and managing calendars.
• Communication Management: Handle incoming and outgoing communications, including emails, phone calls, and interdepartmental correspondence.
• Order Processing: Process customer orders, purchase orders, or other transnational documents, ensuring accuracy and timely execution.
• Inventory Management: Monitor inventory levels, update stock records, and coordinate with relevant teams to ensure adequate stock availability.
• Vendor Coordination: Interact with vendors and suppliers for order placements, status updates, and resolution of any delivery or quality issues.
• Query Resolution: Address internal and external queries related to operations, products, or services, providing prompt and effective solutions.
• Quality Assurance: Assist in quality control checks, ensuring products or services meet specified standards and any issues are reported and addressed promptly.
• Process Improvement: Identify process inefficiencies and suggest improvements to enhance productivity and streamline operations.

Requirements:
• Education: A bachelor's degree in business administration, commerce, or a related field is typically preferred. Relevant experience and skills can sometimes be considered in place of formal education.
• Data Management: Strong data entry skills with attention to detail and accuracy in handling information.
• Organizational Skills: Excellent organizational abilities to manage tasks efficiently and maintain records systematically.
• Communication Skills: Good written and verbal communication skills to interact with internal teams and external parties professionally.
• Technology Proficiency: Familiarity with basic computer applications such as MS Office (Word, Excel, PowerPoint), email, and data management software.
• Problem-solving: Ability to troubleshoot issues, propose solutions, and take proactive measures to prevent problems.
• Multitasking: Capable of handling multiple tasks simultaneously and meeting deadlines.
• Adaptability: Flexibility to work in a dynamic environment and adapt to changing priorities.
• Experience: Prior experience in backend operations, data entry, or administrative roles is beneficial but not always mandatory.
