We are seeking a highly skilled Proposal Coordinator to join our Estimating team at our Head Office location in Morriston, ON.

Summary
This role will assist the Senior Proposal Manager with complex, milestone-driven responses to various industry RFPs/RFQs/RFEOIs. The incumbent will assist the Senior Proposal Manager in advancing high-value strategic proposal submissions in a timely fashion, including proposal planning, responsibility matrices, supplementary documentation, milestone management, and proposal deliverables.

Key Responsibilities:
Assisting with daily research and updating/maintaining the in-house SNIPr software.
Providing assistance to the Senior Proposal Manager in proposal-development efforts, such as convening, facilitating, and participating in proposal-team meetings.
Analyzing client requests (RFP, RFQ, RFEOI) to understand technical requirements.
Organizing and assisting with the proposal kick-off meeting and other periodic meetings.
Preparing RFP/RFQ/RFEOI layout, structure, and organization using Adobe InDesign.
Contributing to the RFP/RFQ database using Adobe InDesign.
Maintaining current contact information for corporate references.
Creating and managing collaborative workspaces and version-controlled repositories.
Developing and adhering to proposal-development schedules.
Assisting with go/no-go, color-team, and other external/internal reviews.
Monitoring proposal team members deliverables.
Developing templates and guidance for proposal materials, based on client guidelines, solicitation instructions, and effective best practices.
Providing early review and editing of proposal materials for compliance.
Serving as a liaison between the Senior Proposal Manager and Subject Matter Experts.
Serving as a point of contact for external collaborators and partners.
Identifying, analyzing, and resolving technical issues and roadblocks.
Requirements
Bachelor's degree in related area and 3-5 years of project management experience in a construction-related field or equivalent experience/training.
Association of Proposal Management Professionals (APMP) or similar certification is preferred.
Competent in working with Adobe InDesign, Adobe Acrobat, and MS Word.
Strong communication skills to communicate effectively, both verbally and in writing to diverse groups of individuals at various organizational levels.
Strong interpersonal skills, ability to work with internal and external groups.
Experience supporting complex proposals in a collaborative team setting, including working with Subject Matter Experts from different departments and disciplines.
Knowledge of and experience with content and structure of standard calls for qualifications, proposals, proposal preparation and submission requirements from municipal agencies.
Ability to multi-task with demanding timeframes. Proven effective organizational skills to work with changing priorities, demanding workload, and multiple simultaneous deadline-driven projects under limited supervision.
Strong skills in synthesizing large amounts of data for preparing sound and relevant proposals/analyses. Excellent project-management skills, including proven experience planning, implementing, managing, and evaluating projects.
Knowledge of common computer application programs. Willingness and ability to learn new systems and software as needed.
Experience editing and writing technical documents comprised of contributions from multiple authors, especially those involving construction and engineering terminology.
Familiarity with project-management software tools, methodologies, and effective practices.
Experience with technical writing and editing and working with Adobe cloud are preferred.
Knowledge of the Canadian water & wastewater marketplace is preferred.
