Receptionist Duties and Responsibilities
Key aspects of the role:
First point of contact for clients – answering and transferring phone calls / meet and greeting clients in a professional manner, ensuring they are invited and feel welcomed with refreshments e.g. teas and coffees etc.
Manage client queries and follow up to ensure the client has received an adequate response/solution in a timely manner
Booking client meetings, diary management and management of meeting rooms regarding the same
Maintaining professional presentation of office, foyer and meeting rooms
Prepare letters, client correspondence, invoices etc.
Manage inbound and outbound correspondence for clients and stakeholders, including mail & emails.
Receipting payments within internal system, banking cheques, processing payments on eftpos machine
Assistance with client workflow management - logging in client work, downloading ATO portal reports, software reports, uploading client completed work and lodgement management with the ATO & ASIC
Maintenance of DMS (document management system) and client database
Onboarding new clients
Supporting general office management and administration support to the entire team
Skills & Knowledge:
The successful applicant is expected to have demonstrated achievement or capability in the following areas:
Essential:
Excellent communication skills, both verbal and written
Ability to conduct effective communication in a personal, yet professional manner
A high level of competency in both time management & organisation
Demonstrated teamwork skills
A proven capacity and genuine appetite for learning new systems & processes.
Ability to consult and build rapport with a range of employees & key stakeholders
Competent with Microsoft Office
Desirable:
2 years minimum reception experience within a professional service environment
Accounting firm administration and/or experience, including corporate secretarial.
