The Opportunity
This role will see you working across a diverse range of functions, encompassing elements of administration, Marketing, events management, and reception.
You will play an essential role in our visitor experience and will also lead our staff engagement initiatives, contributing to a positive working culture. Day-to-day, this role will also see you provide critical administrative support for the Melbourne team.
Other key aspects of your role include:
Welcomes visitors (including internal staff and external clients) by greeting them, in person or on the telephone; answering or referring inquiries.
Preparing, processing and distribution of incoming and outgoing mail and deliveries, including the maintenance and ordering of required postal and stationery supplies.
Maintain office information on the intranet, including staff registers and directories.
Provide support to the Office Manager, or delegate, on the ordering and monitoring of stationery and consumables.
Building access cards and office keys; procurement, distribution and maintaining registers.
Typing/preparation of documents such as (but not limited to) fee submissions, general correspondence, specifications, certificates, reports, letters, presentations etc.
Assist with submission coordination support (as directed/required).
Provide assistance for internal and external events as directed, inclusive of any catering requirements.
Coordinate allocation/use of company resources (eg. office cameras, site vehicle).
Assist with setting up and maintaining project information in RBG project management system.
Assist with ensuring standard company procedures, policies, guidelines and documents are adhered to by staff.
Assist with the implementation and communication of administrative aspects of quality assurance in the Melbourne Region.
Assist technical engineering teams with coordinating aspects of project commercial processes.

Excellent written & verbal communication skills
Sound knowledge of the Microsoft Office suite
Creativity and graphic design experience
Ability to plan & lead social events
The ability to be flexible and adaptable
