Job Title: Secretariat Executive-Accounts,Legal and Administrative
Location: Mumbai
Budget: Upto 5 LPA ( depending upon your experience and qualifications)
Required Exp.: 3+ yrs analytical exp.
Shift: Day shift

Job Summary:
We are seeking a highly organized and proactive Secretariat Executive to provide comprehensive secretarial, financial, legal, and HR administrative support to senior leadership. The ideal candidate will manage a variety of tasks, including scheduling, correspondence, financial reporting, legal document management, and HR coordination. This is a dynamic and multifaceted role ideal for someone who thrives in a fast-paced environment and enjoys supporting cross-functional teams.

Key Responsibilities:

Secretarial Support:
- Manage and prioritize executive schedules, coordinate meetings, and handle correspondence on behalf of senior leadership.
- Prepare, edit, and format presentations, reports, and other communication materials.
- Maintain and organize confidential records and documentation to ensure seamless access and security.

Accounts Management:
- Assist with the preparation of financial reports, budgets, and reconciliations.
- Ensure compliance with financial protocols, including invoice processing and payment follow-ups.
- Collaborate with the finance team to support audits and other financial reviews.

Legal Assistance:
- Maintain and organize legal documents, agreements, contracts, and related records.
- Liaise with legal advisors to ensure compliance with regulations, oversee statutory filings, and assist in contract reviews.
- Monitor regulatory deadlines and ensure timely submissions of required documents and filings.

HR Administrative Coordination:
- Coordinate HR-related activities, including event planning, office supplies inventory, and other administrative tasks.
- Assist in preparing HR reports and support day-to-day HR operations.
- Provide logistical and documentation support for company events and other HR initiatives.

Qualifications:
- Proven experience in executive/administrative support.
- Strong knowledge of office management and MS Office.
- Familiar with accounting software and legal/compliance processes.
- Excellent communication, organizational, and multitasking skills.
- Ability to handle sensitive information and HR tasks.

Additional Skills:
- Strong problem-solving abilities and a proactive approach to tasks.
- Ability to work independently and as part of a team.
- Comfortable working in a fast-paced environment and managing multiple priorities.

Education and Experience:
- Bachelor’s degree or equivalent experience in business administration, finance, legal, or a related field is preferred.
- 3+ years of experience in a similar administrative or support role.
