Job Summary:
We are looking for a dedicated and organized Tender Management and Administrative Assistant to join our team. This role is straightforward and involves handling daily tasks such as searching for tenders, managing Excel sheets, drafting letters, and tracking ongoing projects. Key Responsibilities:
• Tender Management:
• Easily search for and identify relevant tenders each day.
• Prepare and submit tender documents on time with minimal hassle.
• Track the status of submitted tenders and follow up when needed.
• Administrative Duties:
• Draft and manage correspondence, including letters and emails, with ease.
• Organize and maintain digital and physical files effortlessly.
• Prepare straightforward reports and presentations as needed.
• Excel Management:
• Create and update simple spreadsheets to track project details and budgets.
• Ensure all data is accurate and up-to-date without much effort.
• Project Tracking:
• Monitor ongoing projects to ensure they stay on schedule.
• Maintain clear and detailed records of project progress.
• Material Procurement:
• Float inquiries to procure materials for ongoing projects efficiently.
• Coordinate with suppliers to ensure timely delivery of materials.
• Financial Management:
• Track and manage organizational expenditures with basic accounting skills.
• Assist with straightforward accounting tasks and maintain financial records.
Qualifications:
• Basic experience in an administrative or tender management role.
• Proficiency in Microsoft Office, especially Excel and Word.
• Excellent organizational and time-management skills.
• Clear written and verbal communication skills.
• Basic knowledge of accounting to manage financial records.
• Ability to work independently and as part of a team.
• High attention to detail and accuracy.
Preferred Qualifications:
• Experience in the construction or contracting industry is a plus.
• Familiarity with tendering processes and documentation.
