Halifax Regional Municipality is inviting applications for a permanent, full-time position of Administrative Assistant Training with Halifax Regional Police.

Reporting to the Superintendent i/c of Administration, the Administrative Assistant - Training is accountable for coordinating the activities of the Training office and the Police Science Program. On a daily basis, the Administrative Assistant directly reports to an Inspector and Staff Sergeant i/c of Administration. This position performs a wide variety of administrative support services, ranging from complex to routine, all of which contribute to the efficient and professional operation of the office. It is expected that the incumbent has a genuine appreciation for and understanding of protocol, discretion and professionalism and is able to accept and assume responsibility. The ability to interpret and make common decisions in accordance with prescribed procedures and practices of Halifax Regional Police is also necessary for the role.
DUTIES AND RESPONSIBILITIES:
Provides administrative support to the Superintendent, Inspector and Staff Sergeant i/c of Administration and supporting staff by managing inquiries, appointments, correspondence and projects. Responsible for maintaining supplies for a busy training and/or Police Science Program section, reconcile credit card monthly reports and expenditures, update monthly duty roster and respond to requests from other agencies/organizations standards for training and certifications. Initiates building and equipment maintenance.
Assist with compiling training manuals for specific technical areas following established procedures; maintain all training facility bookings, create invoices for the Training Section. Performs simple financial monitoring for the Training Section budget by following established procedures to provide support to the Staff Sergeant.
Facilitate administrative and supporting functions related to the in-house Police Science Program. Provide assistance to the Program staff and students during training. Sole responsibility for HRP’s management of the Nova Scotia Student Loan portal.
Coordinates the administration of all internal training programs, including internal/external training opportunity postings, collecting electronic applications for courses, develop list of applicants according to Collective Agreement requirements and present to the Staff Sergeant i/c of Training. Produce course certificates and compile training course completion data into Versadex. Analyze and produce a monthly report for the Staff Sergeant i/c of Training a list of potential positions/expertise that require mandatory training and recertifications. Provide staff and senior management, upon request, with a compiled report of an employees’ training history. Administrator for Canadian Police Knowledge Network (CPKN) and Red Cross first aid.
Assist and support Human Resources with communication and conducts assessments for police officer and cadet recruitments.
May perform other related duties as assigned.
QUALIFICATIONS
Education and Experience:
Grade 12
Business or secretarial certificate or diploma from a recognized educational institution or equivalent combination of education and 3 years' experience in an administrative assistant position.
Minimum 3 years administrative experience
Minimum typing speed of 50 wpm.
Technical / Job Specific Knowledge and Abilities:
Comprehensive knowledge of the functions and activities of the Halifax Regional Police and related offices
Knowledge of transcriptions devices
Knowledge of Human Resources practices
Knowledge of the applicable collective agreements
Excellent knowledge of computer applications such as MS Word, Excel, MS Outlook, SAP and Internet/Intranet programs
Excellent knowledge of police specific applications such as Versadex and Versonnell
Security Clearance Requirements: Before an offer is made the top candidate will be required to complete the background & security clearance process. You will be given a security & background booklet to complete and return to Human Resources. The results of the Background & Security screening are confidential and only a pass or fail result is released to Human Resources. You will be thoroughly investigated to determine your suitability to meet security clearance requirements. Your references and previous employers may be contacted, and family and friends may be contacted and/or visited during this stage.
Please note: Testing may be conducted as a component of the selection process to assess technical and job specific knowledge. Candidates who are selected for testing, may be tested in a group setting, scheduled at the employer’s discretion.

WORK STATUS: Permanent Full-time
HOURS OF WORK: Hours of work are Monday – Friday, 8:30 a.m. – 4:30 p.m. (35 hours per week), in an office environment.
SALARY: $47,760 to $61,810; Non-Union Level 2. Salary will be commensurate with education and years of applicable experience.
WORK LOCATION: 2 Chapman Street, Dartmouth, NS. Work location can be changed according to operational requirements.
