Administrative Assistant/Office Manager

As the first point of contact, you’ll be responsible for welcoming patients, coordinating clinic flow, answering inquiries, and supporting our team of practitioners. This role is perfect for someone who thrives in a fast-paced, wellness-focused environment and brings confidence, empathy, and strong communication skills to every interaction.
Key Responsibilities:
•
Greet patients and provide a warm, professional check-in and check-out experience
•
Answer phone calls and emails with polished etiquette and clear communication
•
Manage appointments, practitioner schedules, and clinic flow using our EMR system (Jane)
•
Handle payments, insurance forms, and administrative tasks accurately
•
Support patient education by answering general questions about services and products
•
Maintain a tidy, organized, and welcoming front desk and waiting area
•
Help troubleshoot patient concerns and solve problems efficiently and calmly
•
Collaborate with a supportive, multidisciplinary team to ensure a seamless patient experience

Confident and articulate communicator, comfortable with public speaking
•
Exceptional verbal and written communication skills
•
Professional phone etiquette and a calm, courteous presence under pressure
•
Organized and detail-oriented with strong multitasking abilities
•
Proactive problem-solver who stays composed during high-volume times
•
Experience in a healthcare, wellness, or customer service environment is an asset
•
Familiarity with electronic medical records and booking software is preferred
•
