Job Title: Administrative Coordinator – Fast-Paced Trades Company

Location: Saskatoon, SK
This is a full-time role, remote to start. As the company grows, there may be a transition into an in-office setting in Saskatoon.

We provide top-tier repair and installation services with a reputation built on reliability, honesty, and great customer service. We're looking for a key team member who’s ready to help us stay organized, responsive, and efficient as we continue to grow.

The Role:
This isn’t your average admin job. As our Administrative Coordinator, you’ll be the voice and heartbeat of Apex. You’ll manage all incoming customer communication, coordinate our field technicians, and help keep our operations humming. For someone excited about business, this role offers real exposure to every part of the company.

What You’ll Be Doing:

Customer Communication & Scheduling

Answer all incoming phone calls, emails, Facebook messages, texts, and website inquiries
Respond to emergency repair requests and gather key job info from customers
Coordinate and manage the daily schedule for service technicians
Stay in real-time communication with techs throughout the day
Build great working relationships with techs and customers
Operations & Tracking

Review previous day’s jobs to identify incomplete work
Track and update our Work in Progress (WIP) spreadsheet
Order parts when needed, track delivery status, and reschedule jobs accordingly
Maintain a tracker for completed-but-not-yet-invoiced jobs
Log all calls in a call log to maintain visibility for the team
Reply to new Google reviews and help manage our Google Business Profile
Quotes & Estimates

Provide quotes for standard repair services using our pricing sheet
Log complex or custom quote requests into our Quote Tracker for the sales team to follow up
Collections & Financial Admin

Maintain our open invoices spreadsheet
Make weekly follow-up calls on accounts with unpaid balances (over 5 days)
Other Responsibilities

Monitor and update our Facebook and Twitter accounts with provided content
Ensure all customer communications are handled quickly and professionally
What We’re Looking For:

Excellent communicator—both friendly and clear
Strong organizational and time-management skills
Tech-savvy and comfortable using spreadsheets, email, and scheduling tools
Experience in customer service, admin, or office coordination
Confident, assertive, and comfortable making collection calls when needed
Someone who genuinely enjoys helping people and takes pride in their work
Must live in Saskatoon or surrounding area

Have worked remotely and managed scheduling or dispatch
