Executive Assistant to Director
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support the Director. The ideal candidate will have excellent communication skills, the ability to manage multiple tasks, and a high level of professionalism. This role requires someone who is resourceful, flexible, and capable of handling confidential information with discretion.
Key Responsibilities:
Administrative Support:
Manage the Director’s calendar, schedule meetings, and appointments.
Screen phone calls, emails, and correspondence; manage responses when appropriate.
Coordinate travel arrangements, including flights, accommodation, and itineraries.
Organize and prepare documents for meetings, ensuring the Director is well-prepared.
Meeting Coordination:
Schedule, organize, and manage meetings, including board meetings and team meetings.
Prepare agendas, take minutes, and follow up on action items.
Ensure the Director is equipped with relevant materials and information before meetings.
Project Management:
Assist the Director with ongoing projects, ensuring deadlines are met and tasks are followed through.
Conduct research and compile reports as required for strategic planning.
Track progress on key projects and provide regular updates to the Director.
Communication & Liaison:
Act as the point of contact between the Director and internal teams, clients, and stakeholders.
Draft, edit, and proofread emails, memos, presentations, and reports on behalf of the Director.
Maintain strong relationships with key stakeholders and external partners.
Confidentiality and Discretion:
Handle sensitive and confidential information with the highest level of integrity and discretion.
Ensure that all communications, documents, and files are securely handled and stored.
Office Management Support:
Assist in managing office logistics and coordinating with other departments for day-to-day operational needs.
Order supplies, manage vendor relationships, and ensure smooth office operations.
Assist in organizing company events, seminars, or workshops as required.
Other Duties:
Assist with personal tasks for the Director when required.
Provide support for ad hoc tasks, problem-solving, and unexpected challenges as they arise.
Qualifications:
Bachelor’s degree in Business Administration or a related field (preferred).
Proven experience as an Executive Assistant or similar role.
Excellent organizational, time management, and multitasking abilities.
Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other office management tools.
Ability to work independently, prioritize tasks, and manage time effectively.
Excellent verbal and written communication skills.
High level of professionalism, confidentiality, and discretion.
Skills:
Strong problem-solving abilities and attention to detail.
Ability to manage multiple priorities in a fast-paced environment.
High degree of emotional intelligence and interpersonal skills.
Experience with travel and event coordination.
