The Executive Assistant will be responsible for providing high-level, administrative support to Executive team members: including, but not limited to, managing their schedule, meetings, and travel
This position requires that you are highly organized, can juggle many tasks at once, are not easily overwhelmed, and are comfortable interfacing with all levels of internal management and staff as well as outside clients and vendors in a fast-paced environment
The Executive Assistant maintains and protects highly confidential corporate information, is the first point of contact in person and on calls and works independently with minimal supervision or direction
Coordinate and manage complex schedules, including meetings, travel arrangements, and appointments across multiple time zones
Serve as the primary point of contact between executives and internal/external stakeholders
Handle correspondence, emails, and phone calls with professionalism
Organize and prepare for meetings, which may include updating, taking minutes, and following up on action items
Plan and coordinate domestic and international travel, including flights, accommodations, itineraries, and visas
Handle expense reporting and reimbursement processes for executives
Manage documents, presentations, and reports as necessary
Maintain confidential files and records
Assist in the planning and execution of various projects and initiatives
Track progress and ensure timely completion
Collaborate with relevant stakeholders to assist in organizing executive off-sites, company events, conferences, etc
Performs other duties as assigned

Job Description
