Job Description

Your Team

Reporting to the Office Manager, the Office Assistant will provide support to the Corporate Services group with various duties related to office organization and administrative tasks. The Office Assistant should be comfortable speaking confidently and professionally in an office environment and be willing to assist the Corporate Services team to ensure the smooth operation of the office.

Your Key Deliverables
• Provide daily reception lunch coverage and vacation coverage, including answering phones, transferring calls, taking messages, accepting packages, and receiving, sorting, and distributing incoming mail
• Monitor emails and organize kitchens, boardrooms, and office storage rooms
• Clean the coffee machine and code invoices
• Prepare paperwork for electronic scanning, scan and file documents, and code records
• Learn and provide backup support for Cheque and EFT processes
• Process the entry of vendors into accounting systems
• Monitor building supplies and provide backup support

Must Haves
• High School Diploma or equivalent
• Office Assistant Diploma or Certificate is an advantage
• Microsoft Office skills in Outlook, Word, PowerPoint & Excel
• Very good communication skills – written, verbal, grammar
• Organized and efficient at scheduling and coordinating
• Exceptional attention to detail
• Professional and courteous
• Problem solving ability
• Goal-oriented
• Team player
• Able to work under tight deadlines
