Schedule: Onsite Tuesday, Wednesday, Thursday
Hours: 7-4 or 8-5 (flexible hours)
Be a warm and welcoming presence at our front desk, greet visitors and help connect them with the employee they are here to see
Ensure the office remains organized and tidy, this includes the front of the house, conference rooms, common areas, kitchen(s), and storage closets
There will also be times where we’ll look to this position to seasonally decorate the office
Maintain and order office / kitchen inventory as needed across all offices, partnering with local employee contact for delivery
Answer / screen incoming calls, gathering necessary details to forward to the appropriate party
Coordinate and assist with in-person meeting requests (internal, client, etc.). This includes ensuring appropriate space is reserved, placing and being available to receive catering orders, adding visitors to security, and managing the set-up and break-down of the room
Be available for any additional support
Manage office mail and deliveries (both incoming and outgoing)
Provide support for expense reconciliation via vendor statements, catering or supply receipts for billing needs
Build relationships with office vendors, key building management contacts, and building security, if applicable
Maintain building keycard system for employees: activating / deactivating cards
Be open to helping employees with requests regarding internal or client needs
