Job Description (Executive Assistant/Secretary for MD)

We are looking for a self-driven and ambitious Executive Secretary to join our team! As an Executive Secretary, you will support managers and employees through a variety of tasks and co-ordination related to an organization. You will be the one to organize and maintain the executive’s schedule and assist them by performing variety of administrative tasks.

Executive secretaries must be quick professionals with great time management and multitasking abilities. It is with their diligence and competence in their work that executives can focus on their managerial responsibilities without worrying about other tasks. The goal is to contribute to the efficiency of the overall business by ensuring all assigned administrative duties are carried on timely and efficiently.

Responsibilities

Provides high-level administrative support and assistance to the Executive Director.

Take initiative in director’s absence.

Maintain procedures manual to ensure consistent performance of the routine.

Arrange essential mail in priority action order for boss.

Provide backup data as needed.

Arrange travel through internal or outside agents.

Oversee the performance of other office/engineering staff.

Take minutes during meetings.

Co-ordination and follow-up with other departments.

Performs office tasks including maintaining records.

Performs additional duties as assigned by the director.

Daily record keeping and filing of documents.

Travelling with the director to attend official meetings whenever required.

Eligibility for the post

Proven experience as executive assistant/secretary.

Proficient in MS Office and “Tally’’.

In depth knowledge of office management and basic accounting procedures.

Excellent organizational and time-management skills.

Outstanding communication and negotiation abilities.

Integrity and confidentiality.

Degree in business administration/ Engineering Background/ B.com.

Strong knowledge of database tracking systems and statistics reports.

Fantastic organizational skills and detail-oriented.

Ability to work under pressure and meet deadlines.

Brilliant written and verbal communication skills.

Proficient in Microsoft Office, and business communication software.
