Job description
An opportunity for a proactive, organised and driven Personal Assistant to support the HR Leadership Team, while working closely with the EA to the Chief People Officer (“CPO”) and the wider HR Team.
Reporting to the Head of HR, the Team Personal Assistant role is responsible for supporting the Head of HR, the Head of HR Change & Policy, the Head of Learning & Development (L&D), the Head of Diversity, Equity & Inclusion (“DEI”), the Talent Acquisition Senior Manager and the Reward and Benefits Manager (“The HR Leadership Team”), to provide support in all aspects of their work, as well as supporting the wider teams in each area.
The Personal Assistant must be highly organised and driven, whilst having a strong track record in providing senior level support in an emotionally intelligent way. The successful candidate will support the teams’ effectiveness by ensuring a highly effective level of administrative support to them and its clients. The role will be a focal point of contact for the teams, judging priorities and ensuring the delivery of a high-level service.
We are looking for an exceptional candidate who is an outstanding professional in their field, someone who is happy to challenge the status quo and has a ‘firm first’ mentality.
This is a full-time role, including agile and flexible working.
Roles and Responsibilities• Full, extensive diary management for Head of HR and Head of L&D, whilst also arranging ad-hoc meetings and organising room bookings for the wider HR Leadership Team.• Liaising with internal and external person/s for all meeting logistics and HR team meetings and HR learning sessions including venue, attendance, refreshments and the distribution of materials.• Managing travel including visas and itineraries, where applicable.• Processing invoices, purchase orders and expense claims in a timely manner.• Responding to correspondence via post and email on behalf of your stakeholders.• Coordinate the annual performance review process for direct reports of the HR leadership Team.• Taking ownership and maintaining the relevant intranet pages, ensuring content is kept up to date and accurate.• Providing necessary documentation in a timely, efficient way for internal and external meetings.• Supporting the HR team as appropriate – there will be an expectation that the individual is fully integrated with the team and is able to pick up tasks and run processes where capacity allows.• Assisting with the drafting of team communications alongside the EA to CPO.• General administration tasks including preparing documents, proof reading and the creation of PDF bundles.• Assisting with ad hoc administration and providing support to projects as required.• Assisting the Talent Acquisition manager with the recruitment process and scheduling of interviews.• Assisting the Head of Learning & Development with scheduling of meetings and events organised by the CRS Business School.• Working closely and collaborating with the EA to the CPO to ensure a cohesive and efficient service is provided to all internal and external clients at all times.• Comply with all relevant legal and regulatory obligations including the Solicitors Regulation Authority (SRA) Standards and Regulations, and Principles.
Skills and experience• Previous experience as a PA role at a senior level, ideally in a legal environment.• A good working knowledge of Microsoft Suite, including Microsoft Outlook, Word, Excel and PowerPoint.
