Witdouck Farms is a growing multi-faceted business involved in various sectors of the agriculture industry. We specialize in producing high quality grain seed such as wheat, barley, and hybrid fall rye. We also produce hybrid seed canola and seed alfalfa which is pollinated by our own leafcutter bees.
We are looking for a full time Accounting and Office Administrator.
This position will provide support to multiple team members. Addressing customer inquiries, performing general office functions and administering a full cycle of the accounting process.
Key Responsibilities and Accountabilities
This position will ensure our administrative and office management tasks run smoothly and efficiently; the main responsibilities include but not limited to:
· Bookkeeping:
o Data entry: Collect, scan and process invoices in AP Automation program.
o Assist with creating and sending invoices and statements to customers.
o Respond to customer inquires regarding billing or payment discrepancies.
o Assist with sending out monthly credit card statements and processing receipts.
o Assist with updating and implementing standard operating procedures (SOPs).
o Assist with petty cash reconciliation.
o Assist with payroll processing if needed.
o Assist with special accounting projects as required.
o Assist with vendor and customer updates.
o Assist with inventory list and price updates.
o Assist with government grants application and administration.
o Assist with organizing electronic files and recordkeeping.
o Assist with benefits administration.
o Mailing employee tax forms once a year.
· Administration:
o Perform administrative and clerical duties including but not limited to answering phones, photocopying, filing, managing incoming and outgoing mail, typing correspondence, receive and direct visitors.
o Serve as the point of contact for office maintenance, mailing, shipping, supplies, equipment and errands.
o Provide administrative support to the management team, including but not limited to document preparation, meeting minutes, professional correspondence, etc.
o Plan and facilitate company events, meetings, appointments and travel arrangements.
o Record minutes at various meetings and distribute or archive them accordingly.
o Oversee all office supplies inventories and request office supplies as needed including yard coffee rooms.
o Responsible for the general upkeep, cleanliness, and orderliness inside the office.
o Responsible for annual Christmas card, order gift baskets and flowers.
o Arrange and manage inventory of SWAG and promotional materials.
o Contribute to the development of new ideas and approaches to improve administrative work processes.
· Maintain the marketing strategy for the operation:
o Website -update as needed
o Direct Mail Campaigns – design card and coordinate distribution
o Social media

Education and Experience
· High School diploma or equivalent is required. Post secondary education is preferred.
· Minimum 2 years of accounting, bookkeeping or financial management experience.
· Experience in administrative or office management role is an asset.
· Able to comprehend farm and office routines and policies.
· Proficiency in the use of Microsoft Word, Excel, Outlook, Power Point, Teams.
Compensation
· Base Salary $60,000 - $70,000 per year
