Reporting to the Operations Manager, the Administrative Assistant, Plant Operations is responsible for providing administrative support to the Plant Operations team. The Administrative Assistant will operate as the first point of contact for all inquiries and requests to Plant Operations. The successful candidate will have a strong client-focus, will support collaboration, and will be able to work with a wide variety of stakeholders within the CUE community.


Responsibilities:

Open and distribute incoming regular and electronic mail and other material and coordinate the flow of information internally and with other departments and organizations
Edit and proofread correspondence
Manage receipts and purchase reports. Provide reporting to accounting services as required.
Answer telephone and electronic enquiries and relay telephone calls and messages
Set up and maintain manual and computerized information filing systems
Greet visitors, ascertain nature of business and direct visitors to employer or appropriate person
Record and prepare minutes of meetings
Train field staff in reporting procedures
Organize meetings, physical and virtual
Support key management procedures and databases.
Provide support and coverage to the mail services clerk.
Assist with safety and project documentation
Provide absence coverage for Conference Services Coordinator
Provide support for Maintenance Manager and field staff
Provide coverage for Conference Services desk
Other duties as assigned

Requirements:

High School diploma is required
Some post secondary education is preferred
Experience in a maintenance dispatch office setting is preferred
Demonstrated competency with standard office software, Google suite, MS Office suite.
Familiarity with fundamental maintenance dispatch and tracking processes
Strong administration and organizational skills
Demonstrated strong attention to detail;
Student-focused, supports collaboration, and the ability to work with a wide variety of stakeholders within the Concordia University of Edmonton community;
Be able to manage a large workload and demonstrate strong organizational skills;
Effective problem solving and troubleshooting skills;
Effective time and task management skills are essential;
Demonstrated professionalism and sound judgement;
Ability to be flexible to support the timelines and deliverables of team members
Demonstrated ability to be a team player
Satisfactory Criminal Records Check results
