DETAILED JOB DESCRIPTION
Prospect, one of Alberta’s leading not-for-profits is seeking a dedicated student to fill the role of Administrative Assistant for the summer in our headquarters located in NE Calgary. In this role, you will assist with various administrative duties that will allow the team to support and provide clients with the best possible service available.
In order to be eligible for this role, the government of AB requires the successful applicant to be under 30 years of age and a Canadian Citizen or Permanent Resident. You must reflect your eligibility for this role in your cover letter or on your resume.
What will you do?
Manage the office and provide general administration, responding in a timely and professional manner to all staff/tenant requests, securing and maintaining office supplies, acting as main contact for office communications service and repair, preparing and receiving shipments, couriers, mail and faxes
Greet and direct visitors to appropriate areas, taking minutes and distributing them, analyzing and resolving office administration and procedural challenges, updating contact lists, support data entry and analysis, as well as client file and record management
Receive and return phone calls and enquiries, ensuring branding and messaging are adhered to in all written communication, coordinate mail outs, draft letters and communication, proofread documants (correcting spelling mistakes like the one we just made), help with program or service registration and cover for reception
Assists in completion of additional administrative projects as required
What does it take to do this job?
Some post-secondary education in a related field with a desire to work within the employment services field
Experience and/or exposure to an office environment in an administrative capacity
Intermediate proficiency with Microsoft Office products (Word, Excel, PowerPoint)
Experience with online meeting software (like Zoom), and online calendars and scheduling
Exceptional oral and written communication skills, including the ability to actively listen and take action
Excellent client service skills - your charisma and smile both in-person and over the phone, along with ability to put clients at ease, will come naturally to you
Though it is not required, the ideal candidate will also have experience:
Answering phones, taking minutes of meetings, handling mail and couriers, completing data-entry using Mobius and Salesforce software, preparing written documentations / presentations / spreadsheets, and basic file management
